BUSINESS TRAVEL Booking Conditions
These Booking Conditions, together with our Privacy Policy and website terms and conditions, form the basis of your contract with Advantage Travel Centres Limited trading as Avocet Travel Management. By booking with us, you agree to these conditions. If you have any questions, contact us before booking.
1. Contract

Your contract for travel services is with the Principal Supplier of the Package or Travel Arrangement. We act as a retail agent for that supplier.

We are not liable for the contract terms, services, or actions of the Principal Supplier.

English law applies to this contract unless you live in Scotland or Northern Ireland and prefer their respective jurisdictions.
2. Booking & Payment

The lead name must be over 18, accept responsibility for the booking, and have authority to use the provided credit/debit card.

Your booking is confirmed once we issue confirmation.

If you paid a deposit, the remaining balance must be paid by the stated due date. Non-payment may result in cancellation and fees set by the Principal Supplier.

Always check your booking confirmation immediately and inform us of any errors.
3. Pricing

Prices are subject to change before confirmation.

Additional fees, such as resort fees, may apply locally and are your responsibility.
4. Special Requests & Disabilities

Special requests must be made at booking. While we will pass these to the supplier, requests cannot be guaranteed.

Notify us of medical conditions or disabilities before booking so we can assess suitability.
5. Passport, Visa & Health Requirements

You must ensure you have valid passports, visas, and comply with entry and vaccination requirements. We are not responsible for issues arising from failure to meet these requirements.
6. Foreign, Commonwealth & Development Office (FCDO) Advice

It is your responsibility to stay updated on travel advice and act accordingly.
7. COVID-19 Considerations

COVID-19 measures (e.g. distancing, masks) may affect travel services. These measures will not entitle you to cancellation without fees.
8. Travel Insurance

We strongly advise purchasing travel insurance with COVID-19 cover for your protection.
9. Passenger Ages
-
Under 18s cannot travel independently unless meeting specific airline rules.

Airlines may impose restrictions on pregnant passengers or infants; check airline policies in advance.
10. Flights
-
Flight details may change. Always confirm flight times 48 hours before departure.

Failure to reconfirm flights may result in denied boarding with no refund.
11. Changes or Cancellations by You

Contact us in writing for cancellations or amendments. Fees may apply, including supplier charges and a £35 administration fee per person.
12. Changes or Cancellations by the Principal Supplier

We will notify you if significant changes are made to your booking and facilitate communication with the supplier.
13. Unavoidable & Extraordinary Circumstances

We are not liable for cancellations or changes due to force majeure events such as natural disasters, pandemics, or civil unrest.
14. Proof of Purchase
-
Keep your booking confirmations and travel documents with you at all times.
15. No Show
-
If you do not check in or collect a booked service, no refunds will be provided.
16. Your Behaviour

You must behave appropriately during your trip. Misconduct may result in cancellation of your trip without refund.
17. Our Liability

As agents, we are responsible only for handling your booking. We are not liable for service delivery issues.
18. Weather
-
We are not responsible for disruptions caused by weather conditions.
19. Excursions
-
Excursions booked independently are not part of your contract with us.
20. Complaints
-
Report any issues during your trip to the relevant supplier immediately. Unresolved issues must be submitted to us in writing within 28 days of your trip ending.
21. Communications

We will use the email address provided for all communications. Keep your contact details updated.
22. ABTA Membership
-
We are an ABTA member (P6956) and follow their Code of Conduct.
23. Changes to Terms & Conditions

We reserve the right to amend these terms and conditions without notice. Updated terms will be available on our website.
